Is Lapsly free for clubs?

Yes. Lapsly is free for clubs — no subscriptions, no athlete thresholds, no paid modules (trainings, attendance, tests, results, rankings, reports).

Any hidden fees or paid feature locks?

No. No hidden fees, no charges for exports, reports, or integrations. If a paid add-on appears in the future, we communicate it clearly in advance.

If it’s free, what’s the catch?

There is no catch. Lapsly exists to save clubs time spent on manual counting and scattered data. We value real-club feedback and rollouts, so entry is simple and free.

Onboarding & start

How to start, how fast it works, what to prepare.

How long does it take to start?

Start is quick: users → groups → trainings. Typically you add groups and coaches first, then athletes manually or in batches (e.g., by birth year). Benefits show right away because attendance and mileage are automatic.

Do we need to migrate all history from Excel to start?

No. You can start “from today” and gradually fill history. The biggest value comes when trainings are logged consistently — then attendance, mileage, and reports are automatic.

Can we get a demo with our club data?

Yes. Just message us. We can set up a demo environment and — if needed — sync athletes and results from LiveTiming so rankings and history are real.

Training groups

How group-based work happens and what you get inside.

What is a group in Lapsly and why it matters?

A group is the coach workspace: athletes, coaches, and tabs (Trainings / Attendance / Tests / Results / Reports). This keeps work organized and makes mileage and attendance reports natural.

Can we add athletes by birth year?

Yes — the system supports manual adds and quick “by birth year” adds, speeding up onboarding for age-based groups.

Trainings and mileage

How trainings are logged and how distances are calculated.

What does a training entry look like?

A training record includes: date, training type, time of day, notes, stroke distances (free/back/breast/fly/IM), and participant list (present/absent). This lets the system calculate mileage and attendance automatically.

How is mileage calculated?

Mileage comes directly from stroke distances. The system sums distances for a training, a month, or any period, and reports show distribution by stroke and averages per training.

Attendance and frequency

How attendance works and how frequency is calculated.

Is there a monthly attendance table (athlete × dates)?

Yes. Attendance view includes a monthly table with legend (training/absence/meet/test) and monthly summaries. It’s a fast way to see regularity and group rhythm.

How is attendance rate calculated?

Attendance rate is based on trainings recorded in the system. When a coach marks participants, Lapsly builds monthly summaries and percentage attendance — no manual counting.

Tests

Time and distance tests, filters, and progress history.

What test types are supported?

Time trials (stroke + pool + times) and distance tests: T-10, T-12 (Cooper), T-20, T-30. All results are stored in one history and can be filtered by group and date range.

Results, rankings, comparison

How ranking works, filters, and comparing 2–6 athletes.

Does ranking have stroke/pool/group/date filters?

Yes. Ranking filters by stroke, pool length, group, and date range (advanced from/to dates). You see leader, best time, and count of matching results.

How does athlete comparison work?

Select 2–6 athletes (from groups or search), set filters (stroke, pool, dates), and get a PB table. It’s a fast tool for coaching decisions and progress communication.

Meets, LENEX, LiveTiming

Meet imports, results storage, and sync.

How do you import meet results?

The system supports LENEX (LXF/LEF/XML). After import you get an event with races and result rankings, without retyping.

Can a demo be synced with LiveTiming?

Yes. If you want a demo with your data, message us. We can sync athletes and results from LiveTiming, so the system shows real rankings and history.

Roles and access

Who sees what: coach, parent, admin.

Does a parent see all athletes?

No. Parents only see their child’s data. Coaches see their groups, and admins have full access.

Security and data

Data access, visibility, and control.

Can access be controlled?

Yes — access is role- and context-based (groups / athletes). Admins see everything, coaches see their groups, parents see their child. This limits unnecessary access.
